Position Description:

UrbanArts is seeking a dynamic Program Manager to join our team. An integral part of the UrbanArts management team, the Program Manager reports to the Executive Director. Responsible for the development, implementation and management of programs and services, the Program Manager provides supervision, leadership and direction to the program team and is responsible for community outreach and education, evaluation, and collaborating with community partners. The Program Manager ensures the ongoing and vibrant engagement of young people, seniors and the broader community, sharing artistic and leadership skills with a specialized team of Program Leads and Facilitators to enhance the mission of UrbanArts and achieve the goals of our strategic and program plans. The Program Manager is also responsible for supporting the grant writing process, providing the programming content and relevant data for such grants, completes program reports, supports the organizational work plan and budgeting processes and ensures program work plans and budgets are effectively implemented and monitored.

Primary Responsibilities:

  • As part of the management team, the Program Manager establishes the goals and objectives for each program, sets the standards of performance required for staff, participants and program volunteers, and determines measures of success
  • Supports the development and delivery of effective human resources policies and best practices in response to identified staff and volunteer operational training and professional development needs
  • Develops, implements and manages the delivery of UrbanArts programs, workshops, events and artist professional development
  • Engages with youth & adult leaders (staff, interns, seasonal staff and volunteers)
  • Initiates community outreach by liaising with schools, community organizations/coalitions and agencies as a representative of UrbanArts to ensure wide-ranging program delivery
  • Fully animates the Mount Dennis & Weston Common cultural hub spaces with cutting edge programs and services
  • Works with the management team to prepare, monitor, review and communicate program budgets and maintains effective protocols for recording and tracking financial and statistical data
  • Supervises and monitors program intake, enrolment, participation and attendance
  • Creates, manages and supports an effective system for strategic outcomes management through planning, goal setting, tracking, measurement, analysis and reporting
  • Develops, processes, and monitors evaluation metrics and indicators to measure program performance
  • Ensures all program related committees (Program Committee, Youth Advisory & Ad Hoc) are active and fully functioning with specific deliverables and targets
  • Monitors best practices and determines strategies for digital transformation, hybrid programming and re-engaging community for in-person & virtual/hybrid programming and pandemic recovery
  • Provides crisis intervention and supportive services in response to identified needs of participants
  • Evaluates UrbanArts programs and services and, where applicable, partnered activities, overseeing the creation of artist and participant surveys and reports.
  • Analyzes post-program and event surveys with other staff for reporting anf continuous improvement and tracking
  • Seeks out possible funding opportunities for existing programs and develops programs to meet new funding opportunities.
  • Works with the Management Team & Development Coordinator to prepare operating and other grant applications (reporting on past programming and future plans) and prepares project applications for new programs and partnerships.
  • Develops and coordinates partnership and collaboration opportunities with other organizations, businesses and cross-sectoral representatives.
  • Leads and/or supports the coordination of partner events and activities
  • Assists the Operations Manager in recruiting, training, stewarding and mentoring program and events staff, volunteers, interns and seasonal support staff
  • Manages and supports an ongoing roster of artists, facilitators and contractors, develops and monitors artist and facilitator agreements
  • Oversees all program reporting including (internal, partnerships and funders).

Requirements / Knowledge / Skills / Abilities / Qualifications:

  • Post-secondary education in a related field (arts, arts administration, community arts) or equivalent education and work experience in program management
  • Collaborates with the Development & Communications Coordinator to best communicate about our programming and tell stories of our programs including writing, editing and curation of program outlines and descriptions, curricula and where relevant promotional copy, donor communications, final reports and evaluation of programs.
  • Represents UrbanArts at local/city-wide events, networking events, local networks, associations and community tables, consultations, building relationships with our community and stakeholders
  • Other tasks as assigned
  • Minimum 3-5 years’ experience relevant to the position with at least two years in a management role including substantial experience in creative, managerial and administrative areas
  • Substantial experience managing providing mentorship and guidance to staff, artists, learners, interns/volunteers and experience to emerging artists
  • Ability to assume leadership and take initiative, as well as collaborate with, and support others.
  • Proficient leadership methodologies that inspire and encourage collaboration and enhance organizational effectiveness
  • Experience with equity, diversity, inclusion and anti-oppression practices and policies
  • Extensive knowledge and experience working with artists, client groups/stakeholders and/or issues related to the arts sector within the City of Toronto
  • Arts facilitation and/or teaching and curriculum development experience
  • Knowledge and understanding of community arts practices and principles and commitment to inclusive community-engaged arts
  • Background and interest in interdisciplinary, visual arts and/or curatorial practices
  • Experience creating innovative and impactful programming for all ages and skill levels utilizing a community arts lens
  • Demonstrated experience with audience/participant development and program evaluation practices
  • Strong organizational and time management skills
  • Excellent interpersonal, organizational and communication skills
  • Strong communication skills (verbal and written) using effective tools and techniques
  • Ability to facilitate timely and effective solution-based decision making
  • Strong computer skills: proficiency with Mac and/or Windows operating systems with a great working knowledge of Microsoft and Google based platforms, social media platforms, and proficiency with/high aptitude to learn other programs and applications (e.g. databases, graphics, web utilities);

  • First Aid training

Working Conditions:

The Program Manager normally works in an office setting at the Bartonville and the Weston Common locations, although there are times the incumbent will be off-site at facilities operated by other organizations and in the community as necessary to the role. Evening and weekend work is required to facilitate program activities. We offer a combination of onsite and remote work.
