The Toronto Biennial of Art’s mission is to make international contemporary art available to everyone. For 10 weeks every two years, local and international artists transform Toronto and surrounding regions with artworks, talks, and performances that reflect local contexts and pressing issues of our time. The Biennial’s free, citywide programs aim to inspire individuals, bridge communities, and contribute to global conversations from a variety of perspectives. The next Toronto Biennial of Art takes place from March 26–June 5, 2022.

Position Overview
Job Title: Donor Stewardship & Events Officer
Role Type: Full-time contract
Contract Length: December 1, 2021 – June 30, 2022, with potential to extend
Salary: $55,000 – 65,000 (prorated)
Benefits: A Health Savings Account is provided after completing the probationary period

The Toronto Biennial of Art (TBA) is seeking a full time Donor Stewardship & Events Officer who will report to the Director of Development, and work closely with the Development team. The Donor Events & Stewardship Officer will be responsible for planning and executing exceptional donor experiences and stewardship activities throughout the 2022 Toronto Biennial of Art. This will include in-person and virtual events such as: curator tours; artist talks; performances; cocktail receptions; preview events; a large-scale closing event; and more.
Roles and Responsibilities
Events (70%)
- Plan, design, and execute a series of high-quality donor stewardship events in advance of, and during, the 2022 Toronto Biennial of Art in collaboration with the Director of Development
- Manage event logistics and contractors including catering, transportation, etc.
- Liaise with internal and external stakeholders including the TBA curatorial team, artists, and partners to coordinate and plan event logistics and content
- Ensure exceptional experiences for all donors at TBA events
- Oversee all event invitations and attendee lists
- Work with the Marketing and Communications team to ensure production of print materials and promotion of events
- Manage event budgets prudently with an eye toward securing sponsorships and in-kind support (including food, beverage, gifts, speakers, and/or venues) whenever possible
Stewardship (20%)
- Plan, design and execute donor stewardship initiatives such as mail-outs, email campaigns, etc.
- Prepare donor correspondence including stewardship materials and reports
- Contribute to team-wide strategy development on stewardship and donor engagement
- Ensure that all donors are properly recognized for their contributions in collaboration with the Development Coordinator
Administration & Development Support (10%)
- Leading with curiosity, proactively learn about TBA’s work in order to effectively support fundraising priorities
- Work collaboratively with Development colleagues to achieve collective fundraising goals
- Ensure the maintenance of up-to-date donor records and lists, including in the organization’s CRM platform, Salesforce
- Manage program and event budgets, liaise with Finance regarding vendor contracts and payments, etc.
Desired Qualifications
- Hold an undergraduate degree in a related field or equivalent experience
- Minimum 3-5 years of relevant work experience in fundraising events and stewardship, preferably in the arts
- Excellent oral and written communication skills
- Highly experienced in planning and executing donor or client events
- Strong understanding of good donor stewardship practices
- Proven commitment to equity, diversity, and inclusion, and practices of anti-racism and anti-oppression, to contribute to a healthy workplace environment
- A flexible team player that is able to collaborate and support colleagues, and remain motivated to achieve results
- Proactive and thinks ahead
- Demonstrated ability successfully manage multiple priorities as evidenced by excellent organizational and time management skills
- Superior computer literacy in Google Office Suite and Microsoft Office
- Experience using donor or CRM databases. Salesforce knowledge is strongly preferred.
- Professionalism, good judgment and discretion in dealing with confidential and sensitive matters are essential
- General knowledge of fundraising practices, procedures and standards preferred as evidenced by a combination of relevant work, education or professional development
- Strong donor and client-service mindset
