Authors at Harbourfront Centre (AUTHORS) is world renown in the literary arts and recognized for its excellence in festival and event organization. Throughout the year AUTHORS programming includes a weekly reading series featuring some of the most esteemed authors from around the world, annual festivals, including the International Festival of Authors (IFOA), and a wide variety of special events.

Currently an employment opportunity exists in our Literary department for a full time Assistant Communications Coordinator.  Reporting to the manager, the Assistant Communications Coordinator is responsible for promoting awareness of AUTHORS and all of its programmes.

MAJOR RESPONSIBILITIES INCLUDE:
  • Liaise with publishers to coordinate media efforts and obtain publicity materials
  • Gather, assemble, write and prepare information on the various authors, participants, activities and events
  • Organize media interviews, press conferences; respond to telephone inquires from the media; and attend AUTHORS events to coordinate media activities
  • Work with Communications Coordinator to implement an advertising schedule
  • Write, edit and proofread advertisements, marketing materials and website text
  • Assist with the production of all in house and printed communication pieces and direct marketing material
  • Assists with updating AUTHORS’ social media outlets (Facebook, Twitter, YouTube, Flickr) and sourcing new media options
  • Maintain ongoing contact with all media on local, national and international levels to provide them with accurate and timely information on AUTHORS events; cultivate new contacts and maximize media and promotional coverage
  • Provide advance listings information to print and online media
  • Source new outlets for listings, advertising, and outreach and develop new ideas for promoting AUTHORS events
  • Monitor media coverage – print, online, broadcast – for AUTHORS events. Scan clippings and file electronically
  • Compile annual media and sponsorship reports
  • Maintain media database contacts
  • Liaise with various Harbourfront Centre departments to communicate AUTHORS information and marketing efforts
  • Give guidance and instruction to Communications intern
  • Assist the Communications Coordinator with other tasks as needed
  • Work events as required


The ideal candidate will be a post secondary graduate, preferably in Communications or Arts Management with 2 years experience in the not for profit cultural sector or publishing industry, preferably in the marketing and/or publicity area.  Strong writing and oral communications skills, and excellent interpersonal and relationship management skills are essential. The candidate must be detail oriented, highly organized, able to prioritize and multi-task, capable of working to deadline and with minimal supervision.  Excellent copy-writing, editing skills, proficiency in Microsoft Office and knowledge using social medial outlets are required.  He/she must be flexible to work varying schedules including evenings and weekends during peak festival periods.   Knowledge of the trade publishing industry and desktop publishing an asset.
