Banff Centre for Arts and Creativity is seeking an Exhibitions and Special Projects Coordinator.

The Opportunity

The Exhibition and Special Projects Coordinator provides the main administrative and clerical support of Walter Phillips Gallery (WPG) and Banff International Curatorial Institute (BICI), Exhibitions and Special Projects under Visual, Digital and Media Arts. This support is on a year-round basis and includes the administrative and logistical needs related to all facets of WPG programming with primary focus on exhibitions, public programs and special events.

Specific Accountabilities

  • Plans for, implements and facilitates the smooth delivery of all departmental logistics related to exhibitions and special projects liaising closely with the Assistant Curator, Office of the Registrar and Creative Residency staff when required. Coordinates the identification, creation, compilation and dissemination of all relevant information for artists related to WPG exhibitions and special projects, sharing this information with other departments as appropriate.
  • Organizes WPG artist travel and accommodation, travel itineraries, studio visits and schedules. Liaises with WPG artists to collect required registration details, creates, revises and distributes artist information packages, including acceptance and welcome packages, ensuring information is accurate and up-to-date at all times.
  • Assists in producing WPG agreements;
  • Acts as the main WPG and Visual, Digital and Media Arts point of contact for Marketing and Communications and broadcast platforms. Coordinates WPG and occasional Creative Residency promotional activities by liaising with the Marketing and Communications team. Proactively monitors website to ensure information is current; collects and provides information for website and social media updates and content. Creates all Marketing and Communications creative briefs. Works with the Marketing and Communications team to strategically disseminate material through social media and other channels
  • Responsible for maintaining and archiving both electronic and hardcopy filing of WPG Visual Digital Arts Special Projects program material. The incumbent manages digital media, ensures proper labeling and maintenance of the Gallery’s image and media archives; is responsible for sending digital files, photos and publicity material to the artist and lenders after the close of each exhibition.
  • Provides administrative support in grant monitoring, preparation, final reporting and various fundraising efforts; prepares responses to information requests and other correspondence; maintains grant files both electronically and in hardcopy.
  • Compiles WPG statistics and prepares an annual gallery activity report. Locates support and other materials and information as requested.

Qualification and Educational Requirements

  • The candidate should have a university degree in the Arts, with a minimum of two years industry experience.
  • The incumbent will ideally possess a background in contemporary art, have strong analytical and interpersonal skills and be able to apply good principles in an artistic environment.
  • Proven administrative experience working in an office environment; strong organizational skills, a keen eye for detail.
  • Proven marketing and communications experience.
  • Excellent word processing and excel skills.
  • High levels of self-direction and initiative with strong time management abilities.
  • Open, pleasant communicator who is comfortable with public speaking.
  • Ability to work comfortably with change and ambiguity is essential, as is having the sensitivity to work within a cross-cultural context.
  • Working with the artists and a demonstrated knowledge of contemporary art.

Special Requirements

Candidates offered a position with the Centre, in this capacity, will be required to obtain a criminal record check verifying a clear record before a final job offer can be finalized.

Due to the nature of the job, this position may require the candidate to be available to work a flexible, irregular schedule and weekends.

Employment Terms & Benefits

In accordance with CUPE 4318, this is a unionized, salaried support staff position, subject to a 6-month probationary period.

This position pays between $19.51 and $21.67 per hour, depending on experience, working 37.5 hours per week.
